Công việc cụ thể là gì?
JOB PURPOSE
To establish and maintain accurate inventory records across the company's raw materials, packaging materials, work-in-progress, and finished goods.
The role is responsible for identifying, investigating, and resolving discrepancies between physical inventory and AutoCount, ensuring Bills of Materials (BOMs) deduct ingredients correctly, and implementing controls to prevent stock losses and recurring inventory inaccuracies.
The successful candidate must be analytical, detail-oriented, and persistent in investigating problems until the root cause is identified and corrective action is implemented. This is not merely a stocktaking role; the objective is to achieve reliable inventory records, accurate production consumption, and accountability for every stock movement.
KEY RESPONSIBILITIES
1. Inventory Reconciliation & Accuracy
- Conduct regular reconciliations between physical stock balances and AutoCount inventory records.
- Investigate stock variances, including shortages, excess stock, unexplained adjustments, and negative stock balances.
- Identify the root cause of each discrepancy, rather than simply adjusting the system to match the physical count.
- Verify inventory movements, including goods received, goods issued, production consumption, production returns, stock transfers, finished goods receipts, picking, packing, dispatches, and wastage.
- Maintain a discrepancy register documenting the item, quantity, financial impact, root cause, responsible process owner, corrective action, and resolution date.
- Ensure inventory adjustments are supported by evidence and approved by authorised personnel.
-Implement cycle counting procedures based on stock value, movement frequency, and risk.
2. BOM & Production Consumption Control
- Review existing Bills of Materials (BOMs) in AutoCount to ensure ingredient and packaging quantities are accurate.
- Investigate cases where ingredient consumption is not deducted correctly following production.
- Verify that production orders, output quantities, wastage, yield, and material consumption are recorded accurately.
- Compare theoretical ingredient consumption against actual consumption for selected production runs.
- Identify discrepancies arising from incorrect BOM quantities, wrong units of measurement, incorrect transaction timing, incomplete production postings, or process non-compliance.
- Work with Production, Production Planning, and Finance to correct BOMs and production recording procedures.
- Establish a regular review process for BOM accuracy and changes to product recipes or packaging specifications.
- Monitor unusual material consumption and production yield variances.
3. Missing Stock & Inventory Loss Investigation
- Lead investigations into missing stock and unexplained inventory losses.
- Trace stock movements across the warehouse, production area, cold storage, picking, and packing processes.
- Investigate recurring discrepancies by SKU, storage location, transaction type, shift, or process.
- Determine whether discrepancies result from recording errors, operational mistakes, wastage, incorrect picking, unrecorded transfers, or potential stock loss.
- Recommend preventive controls to reduce inventory losses and improve traceability.
- Escalate material discrepancies, suspected misconduct, or repeated control failures to management.
4. AutoCount Inventory System Integrity
- Review inventory transaction workflows in AutoCount to identify gaps between actual operations and system records.
- Investigate incorrect stock balances caused by incomplete, duplicated, delayed, or incorrectly classified transactions.
- Verify the accuracy of item codes, units of measurement, BOMs, stock locations, and inventory transaction settings relevant to inventory control.
- Work with the AutoCount administrator or external vendor to resolve system configuration and transaction issues.
- Develop standard operating procedures for inventory-related system transactions.
- Ensure inventory corrections are properly documented, approved, and traceable through an audit trail.
- Recommend system and process improvements to reduce manual adjustments and recurring errors.
5. Cross-Department Process Improvement
- Work closely with Warehouse, Production, Purchasing, Production Planning, and Finance to ensure all stock movements are recorded accurately and promptly.
- Map the end-to-end inventory process from goods receiving to finished goods dispatch.
- Identify control gaps, unclear responsibilities, and processes that lead to inventory discrepancies.
- Implement standard operating procedures, reconciliation checklists, and exception reports.
- Train relevant employees on correct inventory transaction procedures.
- Monitor compliance and follow up with department heads on unresolved issues.
6. Inventory Reporting & Management Updates
- Prepare weekly inventory discrepancy and investigation reports.
- Provide monthly reporting on inventory accuracy, stock adjustments, unexplained losses, and BOM consumption variances.
- Quantify discrepancies in both units and Singapore dollar value.
- Track corrective actions, overdue investigations, and recurring problems.
- Highlight high-risk inventory items and recommend improvements to management.
- Provide evidence-based recommendations to improve inventory control and reduce financial losses.
